GST Registration and Filing Guide for Calgary Small Business
GST registration is required for a Calgary small business once its taxable sales pass $30,000 in one calendar quarter or over four consecutive quarters. At that point you are no longer a small supplier. You register online through the CRA’s Business Registration Online service and get a GST account number ending in RT0001. From then on, you charge 5 percent GST on Alberta sales, claim input tax credits on business purchases, and file returns monthly, quarterly, or annually. Most small businesses file annually, and the return is due three months after year end. Late or missed returns bring CRA penalties and interest. This guide explains each step so you register correctly and file on time.
What Is GST Registration for a Calgary Business?
GST registration connects your business to the CRA so you can collect GST from customers and send it to the government. Alberta has no provincial sales tax, so the 5 percent GST is the only sales tax Calgary businesses charge on local sales. When you register, the CRA adds a GST program account to your nine digit business number, so it looks like 123456789 RT0001. You have to print this number on your invoices once you start charging GST. Our Alberta Sales Tax GST Only Guide explains why Alberta stands apart from provinces that charge HST.
Registration also lets you claim input tax credits (ITCs), which refund the GST you pay on business costs. A Calgary landscaper who pays $500 in GST on equipment and fuel can subtract that from the GST collected from clients. Without registration, that GST is simply a cost you can’t get back. That’s why many new owners register early, even before they have to.
Don’t confuse GST registration with the GST credit. The GST credit is a tax free payment to people with low incomes, which you can read about in our blog on GST Credit Payment Dates. GST registration is a business obligation tied to your sales. One is money the CRA pays out to individuals, and the other is tax your business collects and sends in.
When GST Registration Is Required?
Most businesses have to register once they pass the small supplier limit, but some have to register from day one.
1. The $30,000 Small Supplier Threshold
You are a small supplier while your total taxable sales stay at $30,000 or less over four consecutive calendar quarters. If you pass $30,000 in a single quarter, you have to start charging GST on the sale that put you over. You then have 29 days to register. The limit includes sales from associated businesses, so two companies with the same owner count their sales together.
If you pass $30,000 over four quarters but not in any single quarter, you stop being a small supplier at the end of the next month. A Calgary consultant who reaches $31,000 in sales from January to December has to start charging GST by the end of February. Track your sales monthly so the limit never catches you by surprise.
2. Voluntary and Mandatory Registration
You can register voluntarily before you reach $30,000. Voluntary registration lets you claim ITCs on startup costs like computers, tools, and office rent. It also makes a new business look established to corporate clients who expect a GST number on every invoice.
Some businesses have to register from their first dollar of sales, no matter how small. Taxi drivers and rideshare drivers working with Uber or Lyft in Calgary fall into this group. Non residents who sell digital products to Canadians also have special registration rules. If you plan to incorporate soon, read How to Incorporate a Business in Alberta first, because a new corporation gets its own business number.
How to Complete GST Registration in Calgary?
GST registration takes about 15 minutes online, and you usually get your number the same day. Go to the CRA’s Business Registration Online (BRO) service. You can also call 1 800 959 5525 or mail Form RC1. You need your social insurance number, legal business name, business address, and the date of your first taxable sale. Corporations also need their Alberta registration number and incorporation date. You then pick a reporting period, and most small businesses choose annual filing.
After registration, set up CRA My Business Account so you can file returns, make payments, and see your balance online. Add your GST number to your invoice template in QuickBooks Online or Xero. How to File GST Returns in Calgary?
Once registered, you file a GST return for every reporting period, even if you had no sales. A missed nil return still counts as a late return, so the CRA can charge penalties and hold back any refund you’re owed.
1. GST Filing Periods and Deadlines
Your filing period depends on your yearly taxable sales. Businesses with $1.5 million or less can file annually, businesses up to $6 million file quarterly, and larger businesses file monthly. Monthly and quarterly returns are due one month after the period ends. Annual returns are due three months after year end.
Sole proprietors with a December 31 year end have until June 15 to file an annual return, but payment is still due April 30. If your net GST owing was $3,000 or more last year, you have to pay quarterly instalments. Most businesses have to file online through GST/HST NETFILE or My Business Account. Late filing costs 1 percent of the balance plus 25 percent of that amount for each month late, up to 12 months.
2. Input Tax Credits and the Quick Method
To work out what you owe, subtract your ITCs from the GST you collected. For purchases of $100 or more, your receipt has to show the supplier’s GST number, or the CRA can deny the credit. Our detailed resource on bookkeeping checklist for small businesses in Calgary shows how to organize receipts so every ITC holds up in a review.
Businesses with $400,000 or less in taxable sales can choose the Quick Method. In Alberta, service businesses remit 3.6 percent of GST included sales, and resellers remit 1.8 percent, with a 1 percent credit on the first $30,000. A Calgary graphic designer with few expenses often pays less GST this way. Our tax deductions for small businesses guide covers the other costs you can claim.
